Kalendo extension

Who is in today? You know without asking anyone.

Leave, permits, meetings, appointments out of the office: they all end up in a single calendar that authorised colleagues can consult. They read the name and the time slot, never the title, the participants or the reason. And nobody has to update it by hand.

Availability yes, private life no

To find out whether a colleague is around, there are usually two options: ask around, or share personal calendars and show everyone the eleven o’clock doctor’s appointment too. The company calendar is the third option. It is a dedicated Kalendo calendar that fills itself with entries carrying no details. Absences approved in Klokka become “M. Rossi — Absent”, with only the dates and never the type of absence; a two-hour permit takes up its two hours, not the whole day. Company closures appear as full days. kMeeting meetings and Kalendo events arrive when whoever creates them leaves the “Show me as busy on the company calendar” box ticked: instead of the title, you see the wording chosen by the company — “Busy” unless it picked another — or the one set on the event’s topic. The administrator decides who sees the calendar with “Share”, as for any other calendar; recipients consult it read-only.

How it works

  1. Create the calendar

From Settings → Company calendar, “Create company calendar”. Whoever administers Kalendo also finds a notice reminding them, until they create it or dismiss it.

  2. Choose who sees it

With “Share”, from the menu next to the calendar, as for the others. The same people are also the only ones who can report their own busy time on it.

  3. Let it fill up

Approved absences and closures from Klokka, meetings from kMeeting, Kalendo events with the box ticked: entries arrive, move and disappear together with the original.

You see who is busy. Not why.

What you can do

  • No detail leaks out

The company calendar gets the name and the time slot. Never the title, the description, the participants, the location or the video call link.

  • Absences come from Klokka

Only approved ones, as “Absent” and never with the type: sick leave does not become public knowledge. From Klokka you can also leave someone out, and their entries disappear.

  • Meetings and events with one tick

When you create a meeting or an event, the “show me as busy” box can start out ticked. Anyone who does not want to publish that particular commitment unticks it.

  • The company chooses the wording

The name as “M. Rossi”, “Mario Rossi” or “MR”; a prefix for meetings; the wording for events, and one for each topic, such as “Out of office”. A preview shows the result.

  • It follows recurrences too

If you move or cancel a single occurrence of a recurring event, the entry on the company calendar moves or disappears with it: colleagues do not see you busy when you are free.

  • Read-only for everyone

Nobody writes in it by hand: the applications add the entries. If you switch it off, it stops collecting new ones and keeps those it has; switched back on, it picks up from there.

Frequently asked questions

Do colleagues see the title of my events?

No. Instead of the title, the company’s wording or the topic’s appears, and only for events where you left the box ticked. Your calendar stays yours: only the people you shared it with can see it.

Can people tell whether an absence is sick leave or holiday?

No: every approved absence appears as “Absent”, with the name and the dates, never the type or the reason. Requests not yet approved do not appear at all.

Who can show themselves as busy?

People who have access to the company calendar and whose user type includes the privilege to do so: user types are decided by the Kalendo administrator. Klokka absences, on the other hand, arrive for everyone, except anyone who is excluded.
