Recording extension

Record the meeting. With everyone’s yes, in writing.

When you press Record, everyone in the room gets the consent request and answers for themselves. kMeeting records everyone’s voice and the shared screen, keeps track of who said yes and when, and after the meeting can send the materials to those who attended.

A recording is worth as much as the consent behind it

Saying “I’m recording, is that OK?” out loud leaves no trace. With kMeeting every participant gives consent with one click, on a text naming your company as data controller and stating the GDPR legal basis. Anyone who declines leaves the meeting: only the people who said yes end up in the recording. At Studio Morelli, when a client asks who authorised the recording of a consultation, they simply download the log.

How it works

  1. You start recording

The organiser presses Record and can choose right away what to send participants after the meeting: the video, the transcript, the minutes.

  2. Everyone gives consent

Everyone present sees the consent text and chooses Accept. Anyone who declines, or does not answer within a minute, leaves the room. Every answer goes into the log.

  3. Find it all in Recordings

Once the meeting ends, the recording appears on the Recordings page: play it, download it, share it, check the consents and the date it expires.

Only those who said yes are recorded. And it stays on record.

What you can do

  • Exportable consent log

For each recording you know who accepted, who declined and who did not answer, with date and time. Download it as a PDF to archive or a CSV to open in Excel.

  • Voices and screen, not faces

Everyone’s audio and the shared screen are recorded: what you need to reconstruct the meeting. Webcams stay out. If nobody shares their screen, the file is audio only.

  • Always visible to everyone

While recording is on, every participant sees the “RECORDING IN PROGRESS” banner. Nobody can be recorded without knowing it.

  • Sharing protected by a code

Send the recording by email to whoever you like, with a link that expires when you decide. To open it, the recipient enters a verification code sent to their inbox.

  • Materials go out on their own

If you chose it at the start, after the meeting kMeeting sends the video, transcript and minutes to everyone who attended and gave consent. Transcript and minutes go out as soon as they are ready.

  • Expiry and storage set by your company

The administrator decides after how many days recordings are deleted and how much space they may take. Each file shows its “Expires on…” date, so nobody is caught off guard.

Frequently asked questions

What happens to someone who does not want to be recorded?

They choose not to accept and leave the meeting: their voice does not end up in the recording, and the refusal is kept in the consent log. The same applies to anyone who does not answer within a minute.

Are webcams recorded too?

No. The recording includes every participant’s audio and the shared screen. If nobody shares their screen during the meeting, you get a lighter, audio-only file.

How long are recordings kept?

Your company’s administrator decides, and can also choose for them never to expire. The expiry date is always shown next to each recording, so there is time to download what you need.

Can I record an end-to-end encrypted meeting?

No. In an end-to-end meeting the server cannot read audio and video, so it cannot record them either. For meetings you want to record, use a regular room.

Who receives the materials after the meeting?

Only those who were present during the recording and gave consent, not every invitee. The organiser chooses whether to send the video, the transcript, the minutes or some of these, and sees the delivery outcome on the Recordings page.
