The AI receptionist that answers when you can’t

You’re with a client, in the workshop, in a meeting, or it’s already evening. kVoice answers your number, works out what’s needed, books the appointment or leaves the request for whoever should call back. And your number stays the same.

A missed call is a customer ringing the next name on the list

Someone calling a small business wants something simple: a time, a price, whether they can drop by tomorrow. If nobody answers, they often leave no message. They call someone else.

Example call with the Studio Morelli assistant

AssistantGood morning, this is the virtual assistant of Studio Morelli. How can I help you?

CallerI’d like an appointment for my tax return, on Thursday if possible.

AssistantOn Thursday I have 10 am or 3 pm free. Which do you prefer?

Caller3 pm is fine.

AssistantBooked for Thursday at 3 pm. See you then.

kVoice introduces itself as your company’s virtual assistant and does what you would do: it checks the diary, offers free slots, confirms. When it can’t, it says so and leaves you a clear request, with name and reason. At the end of the day you don’t have a list of numbers to call back blind, but a log with the outcome and summary of every call.

What it does for you

  • Voice, greeting and hours

Choose the voice and greeting, decide when it answers: always, when closed or if nobody picks up. Callers know straight away it’s a virtual assistant.

  • Activation with your own number

Your number stays the same: just forward calls to kVoice, and an automatic check tells you whether they really reach the assistant.

  • Appointments by phone

Callers book, move or cancel even when you’re closed. kVoice checks real availability on Kalendo and never picks a slot at random.

  • Callbacks and alerts

Every call asking for a callback reaches the right people at once: email, in-app bell and phone. Whoever takes it marks it, so nobody calls back twice.

  • Answers from documents and website

Prices, services, what to bring: kVoice answers only from your documents and website. If it can’t find the answer, it says so and offers a callback.

  • Handing over the call

When a person is needed, kVoice hands the call to the right department, during your hours. If nobody answers, the assistant leaves a callback.

  • Call log and privacy

Every call with its outcome and summary. Only people with the privilege see transcripts, data has an expiry date and callers’ voices are not recorded.

  • Set up and test

A step-by-step guide, a chat that proposes changes and waits for your yes, testing in writing or by voice, and a history to go back.

  • kVoice in the ecosystem

kVoice greets your contacts by name, books on Kalendo, opens kDesk tickets and answers from Files. For other software: signed webhooks and an API.

The voice isn’t recorded, and you decide how long the rest stays

kVoice does not record the caller’s voice. The log keeps the outcome, a summary and, if you choose, the transcript, which only people with the right privilege can read. Calls are deleted after 6, 12 or 24 months. Listening and voice run in Europe, the model that understands and replies in the European Union. And callers know from the first second: the notice that they are speaking to a virtual assistant is fixed and cannot be removed.

Frequently asked questions

Do I have to change my phone number?

No. Kamzan assigns your company a kVoice number and you forward yours to it, from a landline, a mobile or your PBX: always, or only when you don’t answer, are busy or unreachable. Some carriers charge for forwarding: check your plan.

Do callers know they’re speaking to an AI?

Yes. The greeting always starts by saying that your company’s virtual assistant is answering. That sentence is fixed: you write what comes after it.

Are calls recorded?

The caller’s voice is not. What stays is the outcome, a written summary and the transcript, which you can choose not to keep. Stored transcripts are deleted automatically after 90 days, 30 for medical and legal practices.

Where does call data go?

Listening and speech synthesis are Microsoft Azure services in Europe; the model that understands and replies is Azure in the European Union. The log, callbacks and settings are on Kamzan’s servers.

What happens if it doesn’t know the answer?

It says so and offers a callback. It answers on prices and services only with what it finds in your documents and on your website, and the software stops sentences with times, dates or amounts it has never seen.

Do I need other Kamzan products?

Not for callbacks or answers from your website. Appointments work on Kalendo, tickets on kDesk, documents on Files: they switch on when those products are active for your company.

Can I try it before putting it on the phone?

Yes. “Try the assistant” lets you talk or write to it as a customer would, with your configuration. Real actions don’t go through: you see what it would have done.
