Appointments
Your diary fills up even when nobody’s on the phone
People who want an appointment usually decide on the spot: if nobody answers, they try elsewhere. kVoice offers free slots and books, and the next day it’s all in your diary, without you touching the phone.
One diary, for the website and the phone
kVoice doesn’t keep its own calendar: it books on Kalendo booking pages, the same ones you use online. Duration, breaks, hours and person come from there, and a commitment made elsewhere removes that slot on the phone too. At Officina Ferrero callers say “service” and the assistant offers the first free slot; the customer confirms and the appointment is in the diary.
How it works
-
Say what can be booked
Services under the name customers use, each linked to one or more Kalendo pages in order of preference. Or simply the people who see clients.
-
The customer asks, the assistant offers
It reads the free slots at that moment, removes those touching a closure and offers one. If two services are needed, it tries to put them one after the other.
-
Confirm and it’s in the diary
It books only after the caller confirms. The appointment is on Kalendo and stays in the call log, with service and time.
If it isn’t free in the diary, it doesn’t exist on the phone.
What you can do
-
Move and cancel without an operator
Callers using the number they booked with can move or cancel on their own. With a hidden number they can’t: the assistant offers a callback, because anyone could dictate someone else’s number.
-
Two services, one call
Cut and colour, service and tyres: the assistant first looks for consecutive slots on the same day, then separate ones, even on different days, with a single confirmation.
-
Prices stated the way you want
Fixed, from…to, on quotation or not to be said on the phone. The assistant states the price only if asked and never makes one up.
-
Your price list goes in within minutes
An Excel, CSV or JSON template to fill in, or your price list as it stands if the company has connected an AI model. Before saving you see line by line what goes in and what changes.
-
Staff names stay inside the company
The assistant doesn’t list people: it books the first free slot, or a person if the caller names them. If you write how to refer to them on the phone, “the doctor”, it says that once the booking is made.
-
If the calendar can’t be trusted, it stops
If sync with Google or Outlook fails, kVoice doesn’t offer slots worked out from an old copy: it alerts whoever must reconnect it, so no double bookings arise.
Frequently asked questions
Do I need Kalendo to take appointments?
Yes: appointments are created on Kalendo booking pages, and whoever sees clients needs at least one. Without it, kVoice leaves a callback request.
If someone has several booking pages, which one is used?
The one the administrator chooses in kVoice. Until one is chosen, that person can’t be booked: kVoice doesn’t pick at random. Anyone with a single active page uses it without setting anything.
Can someone cancel from a different number than the booking one?
Only if you decide so. With “Recognises callers” on, a number linked in the directory works. There’s also an option, off by default, using first name, surname and date. Be careful: anyone who knows those details can cancel a customer’s appointment. Each such cancellation reaches you as an alert and stays in the log, and it doesn’t apply to hidden numbers.
Do prices read from a price list go straight to the phone?
No. kVoice proposes; you check names and prices line by line and choose what to create. Services read from a document can’t be booked until you choose their booking page.
