On the phone
It answers in your name, on your hours, the way you would
The phone rings while you’re with a customer, at lunch, in the middle of August. Callers shouldn’t find silence: they find an assistant that says who you are, knows when you’re open and talks about the workshop or the practice in the right words.
A missed call is often a customer dialling the next name
At Officina Ferrero the phone rings beneath a raised car, and nobody listens to the old voicemail message. With kVoice you say once who you are and what you do: the voice, the greeting, the hours, the holidays. From the next day callers are always welcomed the same way, and know from the start that the workshop’s virtual assistant is answering: that notice is fixed and can’t be removed.
How it works
-
Say who you are
Sector, the name to say on the phone, what you do and where you work. The assistant refers to the business with the right word — the workshop, the salon, the practice — and the name comes without “Ltd”.
-
Choose voice and greeting
Five Italian voices, four female and one male. Press play and hear the greeting as callers will hear it, even before saving it.
-
Decide when it answers
Always, only when you’re closed, or when nobody picks up. Time slots for each day, and holidays and closures that apply on their own.
Say once who you are. It repeats it on the phone.
What you can do
-
The sector that changes how it speaks
Sixteen sectors, from hairdresser to vet. Once you pick yours, kVoice suggests functions, instructions and sample services: accept or ignore them, and nothing you wrote is removed.
-
Hear the greeting before it goes live
Next to the form you always see what will be heard on the phone, and each voice reads it with the real audio. Replaying the same text uses nothing.
-
Holidays with the right words
Mark the period and, if you like, what to say: “We’re closed until 25 August and reopen on the 26th.” The assistant says it as written, and meanwhile offers no appointments and transfers no calls.
-
Public holidays and patron saint already in place
Italian national holidays are already on, Easter and Easter Monday included. Add your town’s patron saint and see the upcoming closures in a list, just as the assistant will see them.
-
With Klokka, a single closure calendar
If you use Klokka, one switch applies the closure days, holidays and patron saint you set there here as well: nothing to enter twice.
-
Instructions written as you’d tell a colleague
What to ask, what not to say, how to behave: a few plain lines are enough. These are rules on how to answer; price lists and long information belong in documents.
Frequently asked questions
Do callers realise they’re not speaking to a person?
Yes. Every call starts with “Good morning, this is the virtual assistant of…” followed by your business name. That sentence sits outside the greeting you write: it’s always there and can’t be removed.
Can I write the greeting however I like?
Yes, the part after the notice. A custom greeting on the phone is included from the Pro plan up; with the Base plan callers hear “How can I help you?”, and your text stays saved for when you change plan.
Do holidays set in kVoice also block the online booking page?
No. They only stop what goes through the phone: appointments taken by the assistant and calls handed to people. The Kalendo booking page stays as it is, and can be closed from there if needed.
What do callers hear if the service is off?
A short message, which you can rewrite, read in the voice you chose. It doesn’t explain why: callers simply hear that you can’t answer right now and can call back later.
