People and departments

When a person is needed, the call reaches the right one

The assistant doesn’t need to keep every call. If the caller wants to talk to someone, it tells them and hands the call over, to the department that matches what they’re asking for. And if nobody answers there, the call doesn’t vanish.

A polite filter, not a wall

At Officina Ferrero a customer calls about an invoice. She doesn’t have to sit through a menu: she says so, and kVoice passes her to Accounts, even dialling the extension on the workshop’s switchboard. If nobody picks up within the seconds you chose, the assistant comes back and leaves a callback request. The menu appears only if things don’t get to the point.

How it works

  1. You list your departments

Up to nine, each with a name, number and extension if any, plus when to use it: “invoices, payments”. With a single number it’s simply the person at the office.

  2. You decide when

Only during opening hours or outside them too, and how many seconds it should ring. During holidays and closures it doesn’t hand calls to anyone: it leaves a callback.

  3. The assistant takes them there

It tells the caller and hands the call over. If it isn’t clear to whom, it offers the menu: “say 1 for…”, by voice or keypad. If nobody answers, it comes back on the line and takes the request.

It hands the call over. And takes it back if needed.

What you can do

  • The real extension on your switchboard

Already have a switchboard? Enter the office extension: it’s dialled automatically as soon as the switchboard answers, and it still works if you reorder its menu one day.

  • If nobody answers, it isn’t lost

The call returns to the assistant, which leaves a callback request. The caller isn’t left listening to endless ringing, and you find the request with everything you need.

  • VIPs ahead of everyone

The important customer is greeted by name, those who receive callbacks are alerted at once and, if handover is on, the assistant’s first offer is to talk to a person.

  • Out of hours, only if you want

You can let VIPs through even when you’re closed. It’s off by default: a caller’s number can be spoofed, and nobody should be able to ring the office at night. Holidays and closures stay closed regardless.

  • Nuisance callers stay out

A blocked number is refused before answering, without using any minutes, and the attempt stays in the log. You can also block hidden numbers, bearing in mind that hospitals and switchboards often call that way.

  • The conversation with the person stays yours

Once the colleague answers, kVoice stops listening: that part is neither recorded nor transcribed. The log just shows who it was handed to.

Frequently asked questions

Which numbers can a call be handed to?

Italian landlines and mobiles. Foreign, short and premium-rate numbers aren’t allowed.

Does the person receiving the call see the customer’s number?

No, they see a Kamzan number. The caller’s number stays in the kVoice log, for those with the privilege to view it.

Do I need to change my switchboard?

No. kVoice calls the office’s public number and dials the extension: the two switchboards don’t need to be connected. If the extension doesn’t answer, from there on it’s up to your switchboard.

Does a blocked number hear anything?

The assistant doesn’t answer: the call is refused. One thing to note: if calls reach kVoice forwarded from your phone, a refused call may end up in your carrier’s voicemail.
