Call log

You know who called and what they wanted, with nothing to listen back to

After a morning of calls you open kVoice and within a minute you have the picture: who called, how it ended, what is left to do. And what callers say stays under control: the right people read it, and after a set term it goes.

One line per call, and the phone becomes something you can read

At Officina Ferrero the phone never stops on Mondays and the paper notes get lost. With kVoice every call leaves a line with time, duration, outcome and summary: booked, callback, ticket, information. The Overview shows how much the assistant works and how many calls end in an appointment. Transcripts, which hold the caller’s data, are opened only by those with the privilege; everyone else has the summary.

How it works

  1. The assistant ends the call

A line appears in the log with number, duration, outcome and a short summary. If an appointment, ticket or callback came out of it, you see it there.

  2. The team deals with it

Each person has their own unread calls, and “To handle” gathers what is still open. Filter by outcome and period, search by number, name or summary, and archive what is closed.

  3. The term does the rest

Transcripts are deleted after 90 days, 30 for medical and professional practices. Calls go after 6, 12 or 24 months, as you choose: only the counts remain.

Everything you need to call back, and nothing more than necessary.

What you can do

  • The day on one screen

Calls today and this month, average duration, open callbacks, minutes used, trend and outcomes: you see at once how much work the phone has taken off you.

  • Read by you, not by everyone

In an office of five, the call I have read is still unread for you. Archiving applies to everyone and can run on its own, never touching what still needs handling.

  • The transcript for those who need it

The text of the conversation sits behind a separate privilege. Those without it do not see it in the export either: they keep the outcome and summary.

  • Transcripts only if you want them

One switch stops keeping them from the next call: outcome and summary remain. And those already saved can be deleted in one go.

  • Delete a call when someone asks

If a caller asks for their data to be deleted, you remove number, summary, transcript and callbacks straight away, without waiting for the term. Only the usage count remains.

  • The log in Excel

On plans that include it, you export what you are looking at to .xlsx, filters applied: handy for your accountant, or to keep calls beyond the term.

Frequently asked questions

Does kVoice record callers’ voices?

No. The audio is used to understand what the caller says and is not kept as a recording: the log holds text, summary and outcome. The part of a call handed to a person is neither recorded nor transcribed either.

How long is call data kept?

You choose 6, 12 or 24 months; if you do not choose, it is 12. “Forever” does not exist. Transcripts last less: 90 days, 30 for medical and professional practices. A call with a callback still open waits for it to be closed, for up to 3 extra months.

After the term, does everything disappear from the statistics?

No. Number, summary, transcript and callbacks are deleted; day, duration, outcome and costs remain, with no link to the person. So past months’ usage and the Overview do not change.

Where are calls processed?

Listening and voice run on Microsoft Azure in Europe, the model that understands and replies on Azure in the European Union. The summary can contain the caller’s personal data, which is why the company sets the terms and privileges.
