Information on the phone

It answers with what you wrote, not with what it imagines

The same question comes in ten times a day: how much is it, what should I bring, where are you. You point to a folder of documents and your website, and kVoice answers from there, in two sentences. What isn’t written, it doesn’t say.

The price list is already written: the phone just needs to know it

At Studio Morelli the questions are always the same: what’s needed for the tax return, how much the first visit costs, where to park. The price list and the checklist are already in a Files folder, the directions on the website. Nothing to rewrite for an assistant: when the price list changes, you change the file, and kVoice rereads it on its own.

How it works

  1. You choose where the answers come from

A company folder in Files, with PDF, Word, Excel or text, and up to three websites. No Files? The websites are enough.

  2. kVoice reads and stays up to date

Documents are reread automatically every six hours, websites every week, respecting robots.txt. You see how many pages it took and what was left out, and you can exclude pages that shouldn’t end up on the phone.

  3. On the phone it answers, or offers a callback

If the answer is written down, it gives it in two sentences. If it can’t find it, it admits so and offers a callback. If the document is needed, it asks whether it may send it by text.

If it isn’t written, it doesn’t say it.

What you can do

  • Amounts only if they’re written

A made-up price on the phone is expensive. Before the sentence goes out, the program checks that the amount really is in the documents: if it isn’t, the assistant doesn’t say it.

  • The right document, by text

The form, the price list, the what-to-bring list. Once the caller says yes, a text goes to the number they’re calling from, with a link valid for seven days. It picks by the file’s name and note: a clear note helps.

  • The link to the website page

When someone asks “can you send it to me?” and the information comes from the website, the assistant texts the link to that page: directions, the form, the shop hours. Only pages you haven’t excluded.

  • Website text stays information

From a website only the text is kept, without menus or forms, and it never becomes an instruction for the assistant. Pages are read only from the site you specify, without wandering off to other addresses.

  • What goes in the vault leaves at once

The assistant uses only files directly in the chosen folder, never subfolders or other folders. A file moved to the Files vault stops being used immediately, without waiting for the next reread.

  • Search by meaning, if you need it

Someone asking “how much is a cleaning?” also finds “Fees: dental hygiene”, if you enable the extension. It’s an extra extension activated by Kamzan and it requires Files: the texts go through Azure in the EU zone. Without it, search works by keywords.

Frequently asked questions

What happens if the answer isn’t in the documents?

The assistant says so and offers a callback. No made-up answers: if nothing was found, the program doesn’t let it give out information.

Do I have to have Files?

Not for answering: without Files you use just the website. Files is needed for answers from documents, for sending documents by text and for search by meaning.

Does it read scanned documents too?

No: it needs text. A scan with no text stays out, and the page tells you so, so you know which files to replace with the original.

Can it text anyone who calls?

Only to the number the call is coming from and only after the caller says yes. It isn’t possible from a hidden number, and a landline can’t receive texts: in that case the assistant suggests something else, such as a callback.
