The assistant reads only what you index, and tells you where it comes from

Smart search works on the files you put in the index — a folder, a workspace, the whole space — and answers citing the documents, so verification is one click away. Indexing is refreshed from the folder menu, and removed from the same place. The vault never enters the index. The text model, the image model and the voice model are chosen in Kamzan Account, feature by feature: ours, on servers in Europe, or an external provider.

How it works

  1. Index a folder

    Right-click, “AI”, “Refresh indexing”. Files reads the documents, splits them into passages and makes them searchable by meaning. You get an email at 0, 50 and 100%.

  2. Ask the question

    “Ask your documents” opens the chat: write as you would speak to a colleague. The answer cites the files; the conversation history stays so you can pick them up again.

  3. Let the rest happen by itself

    Uploaded images get tags and a description without anyone renaming them. An uploaded audio can become text. A messy folder can be reorganised, with a proposal before anything moves.

An answer without the file it comes from is an opinion.

What you can do

  • Smart search with citations

    Questions in plain language, answers in markdown with the files they come from. Per folder, per workspace or across the whole space.

  • Automatic image tags

    Over a hundred bilingual tags — scene, objects, people, animals — and a description, on upload. The site photo is found by searching “crane”.

  • Audio transcription

    Meeting recordings and voice notes become searchable text, with the engine your company chooses.

  • Anonymisation

    Names, tax codes, IBANs and other personal data redacted in a copy of the document, before it leaves the company.

  • Folder reorganisation

    The assistant proposes a structure for a folder that grew badly; you approve, and only then does it move anything.

  • AI inside OnlyOffice

    The editor’s AI plugin uses the model chosen by your company to rewrite, summarise and translate without leaving the document.

    You are in the contract, in the online editor, and a paragraph does not sound right. Select, ask the assistant: rewrite, shorten, translate into English, explain this clause. The answer lands in the document, and the document never left Files.

Frequently asked questions

Do my documents end up with an external provider?

Only if you choose so. For each feature your company decides the model: internal ones run on our servers in Europe and nothing leaves; an external provider is used only where you set it. The vault stays out of the index in any case.

Does the assistant see files I cannot see?

No. Search answers only with documents you have access to: permissions apply to the AI too.

Is the AI included or an extension?

It is an optional extension, enabled per company and assigned to the people who need it. Without it, Files works exactly the same.
