Fewer copies around, fewer “which version is the good one?”

The file downloaded, edited and sent back by email is the source of every wrong version. In Files, Office documents open in OnlyOffice in the browser, and every save is a version; PDFs are annotated with pen, highlighter, text and shapes; text and code files have their own editor with syntax colouring. Around the file: comments with replies, mentions and reactions, a chat per folder, and the board for what everyone must see.

How it works

  1. Open in the editor

    From the preview, “Open in editor”: Word, Excel, PowerPoint and open formats are edited in OnlyOffice. The file stays encrypted in the archive; the previous version stays 90 days.

  2. Annotate, comment, mention

    Eight tools on the PDF, from freehand stroke to arrow. In the comments panel you write @Giulia and she gets notified; reactions close the discussion without another message.

  3. You see who has the file open

    When a colleague opens the file from the desktop, the lock icon appears in real time for everyone else. The lock expires on its own if the computer shuts down.

One version only, with the names of who touched it on it.

Writing and commenting

  • Collaborative editor

    No “download, edit, re-upload as v2”. The Word, Excel or PowerPoint file opens in the browser, inside Files, with OnlyOffice. If a colleague opens it too, you write together in the same session, and the badge on the file says “Marco + 1 other are working on it”.

  • Text editor

    A .txt note, the .yaml configuration, the .json exported from the management system, the procedure’s .md: they open and get fixed inside Files, with an editor that understands the format. No download, no Notepad, no re-upload.

  • Company documents

    Every company has a “Letterhead_v3_FINAL_ok.docx” going around by email. With Company documents, templates live in one place: whoever needs to write a letter does “New from template” in the client’s folder, and the document is born already laid out, ready in the online editor.

  • Comments

    “Did we change clause 4?” — asked in chat, it gets lost; written as a comment on the contract, it stays there with the reply, the reaction and who read it. Comments sit on the file or the folder, with mentions that notify, threads that keep order and an unread counter.

Working on PDFs

  • PDF annotation

    The contract draft to review, the drawing with the error to mark, the quote to stamp “Approved”: open the PDF in Files and draw on it — pen, highlighter, text, arrows, shapes, stamps, notes. Then save: on the original, as a new version, or on a copy.

  • PDF form filling

    The self-declaration, the bank form, the leave request: PDFs with fields already in place. In Files you fill them in where they are — text, checkboxes, drop-downs, choices, signature — and save the filled form as a new version or a copy. No printing, no crooked scan.

  • Edit PDF

    The original Word file is gone, the PDF has a typo on page 3 and the attachment is missing. Edit PDF opens the file in the OnlyOffice editor: rewrite the text, add or remove pages, save. The previous version stays in the history; if you prefer, you work on a copy.

Going back

  • Versions

    Someone saved over the good quote. The re-uploaded price list had the wrong column. The contract fixed in OnlyOffice lost an article. In Files none of these is a problem: every time a file’s content changes, the previous one stays in the history, with number, date and size. Download it, put it back.

Frequently asked questions

Do I need Microsoft Office?

No. OnlyOffice opens and saves Office and OpenDocument formats in the browser. If you prefer Word on your computer, “Open locally” from the desktop does it, with the edit lock active.

Can two people edit the same document together?

In OnlyOffice in the browser yes, with changes visible in real time. From the desktop the file is locked for whoever opens it: others see it read-only until it is closed.

Can the external client comment?

Yes, if their profile or access level allows it. You can also anonymise external authors in comments that leave the company.
