“I need your certificate by Friday.” Said once, tracked until delivery.

Timesheets from twelve people, the ID document from the new hire, the report from the consultant. A file request says to whom, what, where and by when; recipients upload to the right folder, and you see in a dashboard who delivered, who is in progress, who is missing — without chasing anyone by email.

The request authorises the delivery

A request lives on a destination folder and has one or more assignees, Files members. Two modes: one file from each — complete when everyone has uploaded — or just one from the group — enough that one delivers. Recipients find the request in the “My requests” sidebar, land straight in the folder, and can upload even if their access level normally does not allow it: the request authorises them to deliver there, and only there. Due date with zero to seven days’ notice, late delivery allowed or not — reopening is just moving the date. Whoever asked, or whoever manages requests on the folder, reminds, cancels, reopens; never a recipient. With Approval on, the delivered file can enter the reviewer’s flow right away.

How it works

  1. Ask

    Right-click the folder → Request file: what is needed, from whom, by when, one file each or one for all, whom else to notify on delivery.

  2. They deliver

    Notification and email with the link opening the right folder and the request already in view. They upload, and the request marks “delivered” for them.

  3. You watch the dashboard

    To start, in progress, completed: per request and per person. The chip on the folder says how many requests are still open; the reminder goes out from there.

Who delivered and who is missing: one screen, not a separate spreadsheet.

What you can do

  • One each or one for all

    Timesheets: each their own. The meeting minutes: enough that one uploads them.

  • Authorises uploading

    A read-only Guest can deliver to the request’s folder. Files tells you when you pick them: “the request will authorise them anyway”.

  • Due date and lateness

    Up to seven days’ notice; late delivery allowed or not. An expired request reopens by moving the date.

  • Who manages

    The requester, and whoever has “Manage file requests” on the folder: they also see those opened by others, remind, cancel, reopen. Never the recipients.

  • With Approval

    “On delivery, the file enters the approval flow”: the delivered certificate is checked by the manager before it counts.

Frequently asked questions

How is it different from the “document request” link?

The link is for those without an account: a public letterbox. The file request is for Files members: named, with per-person status, due date and dashboard. For external clients with many documents there is Flow.

Can the recipient deliver to a folder they cannot see?

The request opens the destination folder for them to deliver. It does not give access to the rest: they see the request and the place to upload.

What about recurring reminders?

For “upload timesheets every month” there are the upload reminders in Folder notifications, with the checklist of expected documents. The file request is for a specific delivery, with a due date.
