Who you are for Files, before which folder you open

The user type decides a person’s general privileges: whether they administer, whether they have a personal space, which sections they see, whether they are internal or external to the company. Five ready-made, yours as many as you need.

Five user types, from administrator to guest

The Administrator does everything, including migration and vault recovery. The Manager administers members, types, levels, groups and workspaces, but not product settings. The Employee works: personal space, desktop, document chat, every section. The Collaborator is external — a firm, a supplier — and lives in the workspaces they are assigned to, with the Board and collections. The Guest is external and sees a simplified home with direct accesses only. Every privilege is switched on or off per type, and a person can have their own exceptions.

How it works

  1. Pick the type when you invite

    In the invitation you pick the type; the person is born with the right privileges. External types — Collaborator and Guest — count towards the plan’s external-user cap, not the employees’ one.

  2. Tune privileges per type

    In “Manage types” every privilege is a switch, grouped by area: administrative activities, automations, archive controls, activity, use, visible sections. Some depend on others: managing auditors requires managing members.

  3. Create your own, if five are not enough

    “External firm”, “Intern”, “Auditor”: a new type starts from an existing one and changes only what is needed. The type, not the name, is what the server checks on every request.

What you can do

  • Administrative activities

    Manage members, auditors, types, access levels, groups, settings, workspaces, document templates; audit log, migration, impersonation.

  • Use privileges

    Personal space, desktop, document chat, root-folder creation, Board, custom folder icon, sharing the personal space with administrators, managers, groups or everyone.

  • Visible sections

    Dashboard, Collections (shared, favourites, recents, watermark, expiring, timestamped, ZIP, vault), Gallery, Trash. A Guest sees only the simplified home.

  • Activity and archive controls

    Who sees the operational and security activity feed, who manages archive controls and receives the periodic reports.

  • Internal and external

    Collaborator and Guest are external types: they count towards a separate plan cap and cannot receive privileges reserved for internal users.

  • Per-person exceptions

    A privilege can be switched on or off for a single user without creating a new type: the Employee who uses the desktop and nothing else.

Default values: every privilege can be changed per type or per single person.

Frequently asked questions

What is the difference between user type and access level?

The user type belongs to the person and applies everywhere: it says whether they administer, what they see, whether they have a personal space. The access level belongs to the person-folder pair: it says what they can do in there. An Employee can be Manager of one folder and Viewer of another.

Which type should an external client have?

Guest, if they only need to view and download what you assign: they see a simplified home with their accesses. Collaborator, if they work with you in a workspace and need to upload, comment, use the Board.

Is the tenant administrator automatically a Files Administrator?

Yes: whoever is owner or administrator of the company in Kamzan Account enters Files as Administrator. For everyone else the type assigned in the product counts.
