The name of whoever is looking, printed on every page

A watermark on PDFs and images: your own text — CONFIDENTIAL, DRAFT, RESTRICTED — or the email of whoever views or downloads. Diagonal, header, footer or centre, with the opacity and colour you choose.

Two kinds of watermark, two uses

Custom text is the same for everyone: it says what the document is — a draft, a confidential file — to whoever opens it. The viewer’s or downloader’s email is different for each person: every copy carries the name of whoever opened it, and a document that travels carries along whoever made it travel. On a public link the email is asked for and verified before access, and that is the one that appears on the pages. In both cases the watermark is applied on the fly to every preview and every download: the original in the archive stays clean.

How it works

  1. Set it from the context menu

    Right-click the file → Watermark. Choose the type (text or email), the position — diagonal, header, footer, both, centre — the opacity and the colour. The preview shows the result right away.

  2. Every opening goes through it

    Preview, download, the link’s public page: the watermark is burned into the PDF or the image on the spot. On videos and audio, which cannot be burned, it appears as an overlay on the player.

  3. And it stays on record

    Setting, removal, watermarked preview and download all land in a dedicated register, with who, when, from which address and with which settings. The folder shows a summary: how many files carry a watermark and of which kind.

A copy that carries the name of whoever downloaded it does not get left lying around.

What you can do

  • PDFs and images

    The watermark is burned into PDFs and raster images. SVGs are skipped because they are vector; for Office formats the way is to convert to PDF first.

  • Verified email on links

    With the “viewer’s or downloader’s email” type, whoever arrives from a public link must enter their email and confirm it before seeing the file. That is the one that ends up on the pages.

  • No ZIP, on purpose

    Bulk download is not available for files with a personal watermark: each copy must be generated for whoever downloads it. In mixed selections the marked files are regenerated on the spot.

  • A copy is born clean

    Duplicating a watermarked file creates a copy without it: if needed, you set it again on the new file. So a watermark does not spread by mistake where it was not wanted.

  • In Automations

    With the Automation rules extension, “apply watermark” is an action: every PDF uploaded to “Offers” comes out already marked, without anyone having to remember.

  • “Watermark” collection

    All watermarked files in a single list, among the Collections, to review what is marked and how.

Frequently asked questions

Does it work on Word and Excel files too?

No: the watermark is burned into PDFs and images. You convert an Office document to PDF — from the online editor or the context menu — and then set the watermark on the PDF. On video and audio it appears as an overlay on the player.

Is the original modified?

No. The watermark is applied on the fly to every preview and download; the file in the archive stays as it is. Removing the watermark brings everything back, and the removal stays in the log.

What does someone opening a public link with an “email” watermark see?

First a field for their email and the verification; then the document, with their email repeated according to the chosen position. The download they make carries the same email.

Who can set or remove a watermark?

Whoever has the “Watermark” permission in their access level on the folder. Every setting and removal is logged with name, date and address.
