The form’s fields, not a drawing on top

A “fillable” PDF form has real fields inside: text boxes, checkboxes, menus, choice groups, signature areas. Filling writes into those fields — it does not draw on top like annotation — so the result is readable by any reader and the values stay in the fields. The blank template is best kept in a read-only folder, working on a copy; or you save on the original as a version, for forms filled in only once.

How it works

  1. Open the form

    “Fill form” from the menu of a PDF with fields. Fillable fields are highlighted.

  2. Fill in

    Text, ticks, drop-downs, multiple choices; in the signature area, a free-hand signature.

  3. Save

    As a version of the original or as a copy with a new name: “Leave request — Rossi — March”.

A form filled in on screen is readable. A scanned one, sometimes.

What you can do

  • All field types

    Text, checkbox, drop-down menu, radio buttons, signature: whatever the form provides, Files fills.

  • Values in the fields

    The filled PDF stays a form: whoever receives it reads the values in the fields, not an image.

  • Version or copy

    Same two routes as annotation: on the original, or on a copy that leaves the template clean.

  • For a signature with legal value, kSign

    The free-hand signature in the field is a graphic stroke. When an electronic signature with legal value is needed, “Send to sign” takes the filled form to kSign.

Frequently asked questions

What if the PDF has no fields?

Then it is not a fillable form: use PDF annotation to write on top with text boxes. The result looks the same, but the values are not in fields.

Who can fill in?

Whoever has “Can fill PDF forms” in the access level on the folder. For forms to be filled in externally, a public link with edit permission.

Does the blank form get spoiled?

Not if you save on a copy, or if the template sits in a read-only archived folder. If you save on the original, the blank version stays in the history anyway.
