The right letterhead, without hunting for the latest version

Every company has a “Letterhead_v3_FINAL_ok.docx” going around by email. With Company documents, templates live in one place: whoever needs to write a letter does “New from template” in the client’s folder, and the document is born already laid out, ready in the online editor.

Templates live outside the archive

A template is not a file among files: it has its own separate encrypted space, does not appear in the browser, the trash, the search. It is uploaded by whoever has the “Manage company documents” privilege — in Settings → Company documents — in Word format, .docx or .dotx, the format a letterhead is almost always born in. “Create from template” makes a real copy in the chosen folder: a new file, with its own versions and permissions, opening in the collaborative editor. The template stays intact for the next person.

How it works

  1. Upload the templates

    Settings → Company documents: letterhead, engagement letter, meeting minutes. Word .docx or .dotx, with name and description.

  2. New from template

    In the client’s folder: “New” → “From template” → pick one. Files creates the copy there, with the name you give, and opens it in the editor.

  3. Write, and the template stays untouched

    You edit the new document like any other. When the letterhead changes, the template is replaced in settings: from then on new documents are born from it.

The template is uploaded once. The document is born every time.

What you can do

  • Word .docx and .dotx

    Word’s template format is accepted as such, so the conversion for the editor handles it the right way.

  • One privilege to manage them, everyone to use them

    Uploading and replacing templates belongs to the user type — a manager, the secretary’s office. Creating a document from one belongs to anyone who can write in the folder.

  • Out of the browser, the trash, the search

    Templates are not accidentally deleted along with a folder and do not clutter results: they have a place of their own.

  • Requires the Collaborative editor

    To edit the document created from the template online. Without the editor, the copy is downloaded and worked on in Word.

Frequently asked questions

Can I have different templates per department?

Yes: upload as many templates as needed — sales, legal, HR letterhead — and whoever creates picks from the list. There is no per-department limit.

Does the created document stay linked to the template?

No: it is an independent copy. Changing the template afterwards does not change documents already created — which is what you want from a letter already sent.

Does it work with Excel and PowerPoint too?

Today templates are Word documents. For recurring sheets and presentations the way is a read-only “Templates” folder and “Duplicate”.
