The document opens where it is, and two people work on it

No “download, edit, re-upload as v2”. The Word, Excel or PowerPoint file opens in the browser, inside Files, with OnlyOffice. If a colleague opens it too, you write together in the same session, and the badge on the file says “Marco + 1 other are working on it”.

A lock that admits company

When a document opens in the editor, Files places a “collaborative” edit lock: whoever comes later is not turned away, they join the same session and OnlyOffice handles simultaneous editing. “Local” locks — the desktop app, the text editor — stay exclusive, and an open online editor prevents opening locally, and vice versa: nobody writes over someone else’s work. Every save generates a version; the preview of Office files is the PDF conversion done by the same engine. The “Editor” permission in the access level decides who edits online; the others see the preview.

How it works

  1. Open in the editor

    Double-click a DOCX, XLSX or PPTX — or “Edit online” from the menu. It opens in the same tab, with the toolbar you know.

  2. Work together

    A colleague opens the same file: everyone’s cursor has its colour, changes show in real time, the badge in the list counts who is there. Nobody has to wait for the other to close.

  3. Close: it is a version

    The save lands on the file, the previous version stays in the history for ninety days. If needed, “Restore” brings it back.

There is no v2. There is the document, with its history.

What you can do

  • Word, Excel, PowerPoint

    DOCX, XLSX, PPTX and OpenDocument formats. PDFs have their own editor and their own permission, separately.

  • Presence in the list

    “Giulia is working on it — you can open it too and edit together”: you see it before opening, not after.

  • No overwriting

    Open online, the file does not open locally; open locally, not online. Whoever tries gets a message saying who has it and where.

  • From public links too

    A link with edit permission opens the editor for those without an account too, in the same session as internal colleagues.

  • With Company documents

    “New from template” creates the document and opens it here: the letter is born on the right letterhead and is written at once.

  • Our servers

    The OnlyOffice engine runs on Kamzan infrastructure: documents do not go through an external service to be edited.

Frequently asked questions

Do I need an Office licence?

No: the editor is OnlyOffice, included in the extension and hosted by us. Files stay in Microsoft formats, so those with Office open them anyway.

What if I close the browser without saving?

The editor saves on its own at intervals and when the session closes: changes land on the file. If the document is in the vault and the session expires, however, unsaved changes are lost — Files says so.

And vaulted files?

They do not open in the online editor while locked: that is part of the protection. Unlocked with the code, they open for the session’s duration.
