The original Word file is gone, the PDF has a typo on page 3 and the attachment is missing. Edit PDF opens the file in the OnlyOffice editor: rewrite the text, add or remove pages, save. The previous version stays in the history; if you prefer, you work on a copy.

Inside the text, with the editor’s rules

Edit PDF is an extension separate from the Collaborative editor, with its own permission: whoever can fix a Word file cannot necessarily rewrite a signed PDF. On opening, Files asks: on the file — “changes are saved here, the current version stays in the history” — or on a copy — “the original stays as it is”. If others are already working on the document, it says so, and you choose whether to write with them in the same session or on a copy of your own. An already annotated PDF does not open here: rewriting its text would shift or spoil the annotations, signatures and stamps included.

How it works

  1. “Edit PDF” from the menu

    Files checks extension and permission, then asks: on the file or on a copy?

  2. Fix in the editor

    Text, paragraphs, whole pages. It is OnlyOffice: the same editor as for Word files, applied to the PDF.

  3. Save

    On the file, the previous version is in the history and can be restored. On the copy, the original was not touched.

A typo in the PDF does not require finding the Word file.

  • Text and pages

    Rewrite sentences, change paragraphs, add the attachment page, remove the blank one.

  • Separate permission

    “Can rewrite the text inside PDFs” is a permission of its own, different from “Editor” and “Annotate PDF”.

  • File or copy, said beforehand

    The choice is explicit on opening, with an explanation of what happens to the current version and to whoever is already writing.

  • Protects annotations

    An annotated or signed PDF does not enter the text editor: Files blocks it and explains why, instead of spoiling the signature.

Frequently asked questions

Does the PDF stay a PDF?

Yes: it opens as PDF, saves as PDF. It is not converted to Word.

Can I edit a scanned PDF?

A scan is an image: there is no text to rewrite. You can add or remove pages and annotate; for the text you need OCR, which Files uses in search and AI but not to rewrite the page.

What if someone else is editing it?

Files tells you and offers to write together in the same session, or to work on your own copy born from the file as it is now.
