Sharing an address book with a colleague

To share an address book you need to:

  1. In the left-hand menu, «Address Books».
  2. On the row of the address book, on the right, the icon with the two joined dots («Share»). The «Share» window opens in the middle with the address-book name.
  3. In the first dropdown («Select user…», you can type to search) choose the colleague; in the second the permission:
    • «Read only» — they consult it, touch nothing.
    • «Read & write» — they can also add and correct contacts inside that address book.
  4. The «Share» button next to the dropdowns.

Below, in the same window, there is the list of who has it, with each one’s permission in a dropdown: changing it there changes the permission at once. If it is empty you read «No shares».

To remove access: the bin icon on the right of the person, in the same list. There is no confirmation: the contacts stay yours, the other person simply no longer sees them.

On the other side, the colleague finds the address book in «Address Books» with the «Shared» badge and your name next to it.

Sharing ≠ giving away

Whoever receives the address book in «Read & write» edits your contacts, not a copy: the correction they make you see too. It is the behaviour an office address book needs, and it is also why read-only is almost always the right choice.

If you cannot find the icon

It only appears on your own address books — an address book that was shared with you cannot be passed on to others. If it is missing on yours too, it is a privilege of the user typology («Condivisione rubriche»): ask whoever manages Kontacts users.
