The seven things you need today, without hunting for them in the tree
The archive has thousands of files; you, this week, use seven, plus two folders, the link to the management system and a reminder. The Board keeps them together: containers you name as you like, pins you drag, notes you write there. It is yours, and a container can be shared with whoever works with you.
Personal by definition, shared by choice
Everyone has their own Board — external Collaborators and Guests too, for whom it is often the working home. It is organised in reorderable containers; inside, the pins: a file, a folder, an external link, a text note. You can have several boards — one per project, one per client — and a container can be shared with individual colleagues, who see it among “shared containers”. Pins stay linked to the real resource: if the file is moved, the pin follows; if it is deleted, the pin flags it; if it is in the vault, the chat anchored to the pin does not open. Pinning grants no access: whoever cannot open the file does not open it from the Board either.
How it works
-
Pin
Right-click a file or folder → “Pin to board”, choose the container. Or add a link or a note straight from the Board.
-
Arrange
Drag containers and pins; create a second board for the new project. The layout saves itself.
-
Share a container
“Marino onboarding” with Sara and Luca: they see it among the shared ones, with the same pins — and open only what they can open.
The archive belongs to everyone. The Board is yours.
What you can do
-
Four kinds of pin
File, folder, external link, note. The note is read only by you: colleagues do not see it, nor do administrators.
-
Several boards
One per client, one for the week: you switch between them and every pin knows where it belongs.
-
Shared containers
With the “Share own containers” permission: the project board serves the team, without duplicating it.
-
Pins that know whether the resource exists
A deleted or unreachable file is flagged on the pin. No shortcuts leading nowhere.
-
For externals and Guests
It is a user type privilege, on by default for Collaborators and Guests too: their simplified view starts here.
Frequently asked questions
Does pinning a file share it?
No. The pin is a bookmark: whoever sees the shared container sees the pin, but opens the file only if they have access to its folder. To grant access you use assignments.
How is it different from Favourites?
Favourites are a flat list of files. The Board has containers, notes, external links, several boards and shared containers: it is a work surface, not a bookmark.
Are Board notes the same as Notika notes?
No: they are short, private reminders living in the pin. For real, shared and labelled notes there is Notika — and a Files document can be attached to a Notika note.
