The archive inherited from a server or an old management system: folders by scan date, names like “doc_0231”. Automatic reorganisation reads the files, understands what they are and proposes two or three ways to order them — by client and year, by type, by case. You see the proposals side by side, pick one, and for thirty days you can change your mind.

Classifies, proposes, applies without moving bytes

First the classification: OCR on scanned PDFs, a vision model on images, a language model on text documents — all on Kamzan servers — to understand each file’s type, client, date, case. Then a detector recognises the archive’s profile — tax firm, construction site, case office — and suggests the most suitable presets among six: by type; by year and month; by client, year and type; by case, year and type; by tax client, year and obligation; by project and phase. Every proposal is a complete tree with files already assigned; those the AI is not sure enough about go to “To review”. Applying moves nothing in the physical archive: it only changes where files appear, and a snapshot allows rolling back for thirty days.

How it works

  1. Start on the folder

    Right-click → Reorganise with AI. Files analyses the files in a queue and tells you when classification is ready; scanned PDFs go through OCR.

  2. Compare the proposals

    Choose the presets to generate — recommended ones are already highlighted — and see the trees side by side, with per-folder counts. A file landing in the wrong place you move by hand before applying.

  3. Apply, with the permission impact in view

    Before applying, Files shows who would gain or lose access to what, and asks for confirmation. Then the new structure is there; for thirty days “Undo reorganisation” brings everything back as it was.

    Below a confidence threshold — configurable — the file is not placed: it goes to a review folder, and you decide.

    Applying a proposal does not move files on storage: it changes the folder they belong to. Fast, no risk of losing bytes, reversible.

  • Permission impact

    Moving a file changes who sees it. The preview shows it beforehand, and the confirmation stays recorded in the activity.

  • Thirty-day rollback

    The pre-application snapshot stays for the set window — thirty days by default. Afterwards, the new structure is the one.

  • All on our servers

    OCR, image recognition and the language model run on Kamzan infrastructure. No document leaves to be classified.

Frequently asked questions

Does the AI move files on its own?

No. It proposes; you do the applying, after seeing the tree and the permission impact. And even afterwards, for thirty days, you can undo.

What happens to files the AI does not understand?

They go to “To review” inside the new structure, with the uncertain classification shown. You sort them by hand; no file is put where there is no reason to put it.

Can I save the chosen structure for future archives?

Yes, as a folder structure template: the shape the AI proposed becomes the template you apply by hand to new clients.
