Linking a collection to Files, and archiving it

They’re two different things, and it’s best not to confuse them: one keeps the documents synchronised while they arrive, the other closes the file and moves it.

Linking: during

With the Collegamento Files extension, on the collection’s row in «Flows» — on the right, next to the gear — there’s the folder-with-arrow icon, «Link to Files folder»: «Seleziona cartella» opens, you browse the Files archive and press «Seleziona questa cartella». You read «Linked to ""», and from then on the documents that arrive also end up in Files, with the same structure of areas and topics.

The same icon, once linked, opens «Files link» with the «Folder linked in Files»: «Edit» to change it, «Remove» to unlink.

As long as the link is there, the collection can’t be deleted: in the «Other actions» menu the entry is greyed out, with «Linked to Kamzan Files: remove the link first to delete it».

On a phone the link isn’t managed: from a computer.

Archiving: at the end

With the Archivia su Files extension the closed file is transferred: files and folder structure. To do it you need to:

first archive the request: «Other actions» menu (three dots on the row) → «Archive»;
reopen the same menu: now there’s «Archive to Files» — it only appears on an archived collection with at least one file;
in the window choose the location in «Destination path in Files» and the «Destination folder name in Files», then press «Archive to Files» at the bottom.

⚠️ Before pressing, look at the «Delete the original files from Upload Flows» checkbox: it’s a choice, not an automatism. If you tick it, nothing stays in Flow.

Done, the label with the name of the folder on Files appears on the collection’s row, and a click opens it in Files. In the «Other actions» menu the entry becomes «Archived on Files»: it opens «Move archive on Files», to move it to another folder with «Move».

Both extensions require the Files product active for the company.
