Deadlines
They’re switched on in the «Settings» step of the upload request, with the «Deadlines» switch — «Set deadlines for uploading the documents» — and filled in by pressing «Configure deadlines», right underneath.
Four levels, and the nearest wins
In «Configure deadlines» there’s a general date — «General flow expiry» — and underneath the flow’s tree, where you can go down to the single step. The rule: a level’s deadline applies to everything it contains, until a level further down has its own.
Whatever has no date of its own shows the date inherited from the level above; with «Override with a specific date» you give it one, with «Remove the explicit deadline» it goes back to inheriting.
It’s for when the bulk of the file has a month but an appraisal has ten days: you put the date only there, without tightening everything else.
Changing them later
To change the deadlines of an active collection you need to:
- from «Flows», on the collection’s row, press the «Management» gear on the right;
- in the «Activation details» window open the «Deadlines» section, in the column on the left;
- press «Edit deadlines» at the top right — or «Assign deadlines», if there wasn’t any — and then the save button at the bottom.
The same section shows the state: «General deadline» and, for each level, «Inherited» where there’s no date of its own.
Reminders
Still in the «Settings» step, under «Deadlines»: «Email reminders» — «Send reminders 14, 7, 3 and 1 day before the deadline» — and, with the Promemoria SMS extension, «SMS reminders» — «Send SMS reminders 3 and 1 day before the deadline». They don’t repeat: a reminder already sent doesn’t go again. SMS only go out if the company’s SMS configuration exists (see Flow’s settings).
⚠️ What happens when it expires
The participant sees the date at the top of their page, next to «Deadline:». Once the general deadline of the flow has passed, the link stops working: whoever opens it reads «The link may have expired or be invalid. Contact whoever sent you the request.» The deadlines of the levels below, instead, are just a term to respect: they don’t close anything.
To reopen an expired collection just move the general date forward from «Edit deadlines».
