Co-flow or individual flow

It’s the choice in the «Mode» step of the upload request, and it changes everything else: how many dossiers exist and who sees what. They’re two boxes, only one can be chosen.

  • «Co-flow»«Multiple people upload to the same flow instance. Each participant can have access to everything or only to specific areas/topics.» Documents are shared: if a step expects a single file, another participant can replace it.
  • «Individual»«Each participant receives their own copy of the flow to complete separately.» A folder is created for each participant.

The co-flow is the single file three people contribute to: the accountant uploads the balance sheets, the lawyer the deeds, the admin office the company extracts. The individual flow is a hundred identical dossiers, one per person — and a hundred subfolders in the collection.

⚠️ In the co-flow: who sees other people’s files

Once «Co-flow» is chosen, «Who can see and replace whose files» appears underneath, with three possibilities. They need deciding beforehand, because they concern other people’s documents.

  • «Shared and editable (recommended)» — everyone sees and can replace.
  • «Shared, read only» — everyone sees, nobody touches other people’s.
  • «Isolated»«Each participant only sees and manages their own files (useful when you need one copy per person, e.g. individual CVs).»

If the participants are competing companies, or people who don’t know each other, «Isolated» is the prudent choice.

Giving each one only their part

In the «Participants» step, every row has the «Full access» button: a click changes it and opens the «Select the sections they will have access to» tree, where you tick areas, topics or single steps; the button then says how many elements you chose. The lawyer doesn’t even see that the accounting section exists.

On collections that are already active the same tree opens with «Manage access» in the participants list (Management → «Loading» → «Participants»).

The mode can also be read afterwards, at the top of «Manage participants» and in the «Information» section of «Activation details».
