Participants' questions

Whoever uploads doesn’t always understand what you’re asking for. Instead of writing you an email nobody will find again, they can ask inside the step: the question stays attached to the document it’s about.

Switching them on

In the request’s «Settings» step, the «Questions & Answers» switch — «Let participants ask questions». On active collections the same switch is in the «Information» section of «Activation details» (gear on the collection’s row), under «Q&A system».

The participant finds on each step the «Ask a question about this step» bubble, and until they’ve asked any they read «You have not asked anything yet.».

On your side

To answer you need to:

  1. from «Flows», on the collection’s row, press the «Questions» bubble on the right (next to the gear): the «Conversations» panel opens on the right, with a thread for each question — the unread ones highlighted, under each the document it’s about;
  2. click the thread: it opens like a chat;
  3. write in «Write a message…» and send. The participant receives it by email and finds it again under the step.

Questions also arrive as a notification, in the bell at the bottom of the left-hand bar, and the «Q&A» section of «Activation details» lists them all.

⚠️ Who gets notified

Questions go to whoever manages the collection. Validators and coordinators have to be notified on purpose: under the switch there are «Notify validators» and «Notify coordinators».

They’re two switches separate from those of the «Comments» — «Allow validators» and «Allow coordinators» — which instead decide who can write internal working notes on the documents.

If you can’t find the bubble

You need the «Risposta domande» privilege: it’s separate from the one on collections, because answering means writing to an external person in the company’s name. Ask whoever manages Flow’s users.
