Knowing where you are, and exporting
On each collection’s row in «Flows» there are two signals already there: the state on the right — «Waiting for upload», «Upload in progress», «To validate», «Complete» — and, with the «Management» gear, the «Activation details» window, which answers the practical question: what has arrived, what’s missing, who’s stuck.
Inside the window
The sections are in a column on the left:
- «Information» — name, company, mode, and this request’s switches for validation, OTP, questions and comments;
- «Loading» — the «Summary» with «Total required» and the «Detail per participant», then the «Files», «Participants» and «Exclusions» tabs (the steps not to ask of everyone, or of someone);
- «Validation» — if on: totals, validators, actions;
- «Coordination», «Deadlines», «Q&A»;
- «Activity» — who uploaded, validated, added a participant, changed a
setting. It’s the answer to “who removed that deadline?”. The same history
opens from the «Activity history» icon next to «Created by
» , on the collection’s row.
In the «Participants» tab the actions are per person; in the «Validation» section, «Actions» tab, there are «Per-participant actions» and «Bulk actions»: chase, resend the invitation, «Send validation summary».
Taking it out
At the bottom of the left-hand column of the same window: «Download summary CSV» and «Receive summary email». The CSV has everything: information, statistics, participants, structure, files and state, questions and answers.
The actual files are downloaded instead from the row’s «Other actions» menu (three dots): «Export ZIP».
If you can’t find the export
You need the «Export dati» privilege; for the summary alone, «Visualizza riepiloghi» is enough — it’s what turns on the gear on the row.
