Commenting on a file or folder
To write a comment:
- Right-click on the file or folder — or use the three dots button at the end of the row.
- Hover over «Communications»: it has an arrow on the right and opens a submenu.
- Choose «Comments». A panel slides in from the right-hand side of the screen with all the comments on that item.
- Type in the box at the bottom of the panel and press «Comment».
To make an email arrive for whoever has to read it, use «Comment and send email» instead of the normal button. Without it the comment sits there and is seen by whoever passes by.
To call someone, type @ and start the name: the list of people you can mention appears. Whoever you mention gets a notification.
To reply to a comment there is «Reply» underneath it: replies stay gathered under the comment they belong to, not at the end of everything.
How you can tell there are any
In the list, on the file’s row, the speech-bubble icon is filled in when there are comments, and has a red dot if some are unread by you. Clicking it opens the comments panel directly, without going through the menu.
If you can’t see them
Comments are an extension: if your organisation has not turned it on, the «Communications» entry leads to no comments. And even when it is on, you need the right permissions on the folder — «View comments» to read them, «Add comments» to write. To check, click the «Your access» chip in the bar above the list, on the left.
⚠️ In some folders, people outside the organisation only see the initials of whoever wrote, or even “a user”. It is not a fault: it is a choice made by whoever configured the folder, so as not to expose colleagues’ names to people who should not know them.
