Having people confirm they have read a document
You need this when it is not enough for a document to be available: you need proof that people opened it — a policy, a procedure, a compulsory notice.
It is set up on the folder, not on the single file. To do it:
- Right-click on the folder.
- Hover over «Folder tools» — it has an arrow on the right.
- Choose «Notifications & Reminders»: a panel opens on the right-hand side of the screen.
- In there choose the type of event: «Acknowledgement», «Upload notification», «Download notification» or «Upload and acknowledgment» together.
- Choose who should receive it — everyone with access, chosen people or groups — and whether to tell them inside Kamzan, by email, or both.
From then on, when a document arrives in that folder, the request goes out to the recipients. In the same panel you see who has confirmed and who has not, and you can send a reminder to those missing.
The confirmation records when and from where it was given: that is why this feature exists.
Worth knowing before you turn it on
- It is inherited by subfolders, if you choose so: handy, but it means it applies to the ones that will be created later too.
- You can exclude individual people, for those who should not be disturbed.
- Turning it on, Files may lower the recipients’ access level on the folder by itself: they have to read, not tidy up. It is not a fault, and it can be undone.
If the entry isn’t there
It is an extension the company has to have active, and you need the «Folder notifications» permission on the folder. If you can’t see it, it is one of the two: click the «Your access» chip in the bar above the list to check the second.
