Flagging the days you won't be there

⚠️ They are two different things and easily confused:

  • «Absences» (holidays, time off, sick leave) is a request: it needs approval, it enters the attendance sheet and takes hours off your target. It sits under «Management» in the left-hand menu — see the page on leave.
  • «My absences» is a declaration: it asks nobody for anything, it just lets people know you won’t be there on those days, so whoever hands out the work does not count on you. It sits under «Agenda».

This page is about the second.

To declare an absence you need to:

  1. In the left-hand menu, «Agenda», then the «My absences» tab at the top of the page: a list with «From», «To» and «Reason».
  2. The blue «Add absence» button at the top right.
  3. In the window that opens: from when to when, whether it is «All day» or just some hours, and the «Reason (optional)» — which is for whoever reads it, not for an approver (there is nobody approving).

To remove it, the bin «Delete» at the end of the row.

Where it ends up

In the «Capacity planner»: the tab, under «Management», where whoever organises sees a table with one row per collaborator and one column per day of the week, and who they can count on. A declaration placed there saves you from receiving work on the days you won’t be there.

Which of the two do I use?

  • You need to ask for a day off → «Absences».
  • You do not need to ask anything, but you won’t be there (business trip, course, half a day taken elsewhere) → «My absences».

When in doubt: if someone has to say yes, it is the first.
