Billable hours and rates

Every entry is billable or not. It is what separates the work that goes on the invoice from the rest (internal meetings, training, rework).

You do not decide it on the entry: the project decides it, with the «Billable» switch in its edit window, and every entry made on that project inherits it. If a piece of work does not go on the invoice, it is a separate project (or sub-project).

Rates

The «Hourly rate» sits on the project and, upstream, on the client. They are set from the «Catalog» (left-hand menu):

• «Clients» tab → pencil «Edit» on the card → «Client hourly rate (€/h)»;
• «Projects» tab → pencil on the card → «Billing type» («Hourly» or «Project value») and the «Hourly rate». A new project starts with its client’s rate.

It is the rate towards the client, not the internal cost.

If a piece of work is worth something different, on the sub-project you can set a «Custom hourly rate»: leave it empty and the project’s applies.

⚠️ The value freezes when the entry is made

An entry’s amount is worked out when you save it, at that moment’s rate. If the rate changes tomorrow, yesterday’s hours stay at the old price — which is right, because that is what was agreed.

When you change a rate, Klokka asks «Recalculate amounts?» for the entries not yet invoiced: «Yes, recalculate» or «No, leave unchanged». Those already exported are left alone: they had already gone to the client.

Where you see the value

In «Time entries», the «Billable value» column — if you cannot see it, it is among the columns to show, from the «Columns» icon above the list on the right. And in «Reports», choosing the «Billable value» metric instead of hours. If it appears nowhere, seeing amounts is a privilege your user type does not have: ask whoever manages Klokka’s users.
