Where to put files: the company space and your own

There are two different places to put things in Files. It is not a question of tidiness: it changes who can see what you put there.

The company space is what you see as soon as you come in, under «Files» in the left-hand menu. It is the normal place for work: what you put there belongs to the company, and whoever has access to those folders sees it. When in doubt, it goes here.

The personal space is yours, and nobody comes in, not even an administrator.

To open it:

  1. Click your avatar, at the bottom of the left-hand menu.
  2. Choose «Personal space» in the menu that opens.

The left-hand menu changes: you stay in your own space until you press the Back to entry followed by your company’s name, at the top of that same menu.

⚠️ Precisely because nobody comes in, what sits in the personal space does not outlive you: if your access is closed, nobody picks up what was in there. A document the company needs belongs in the company space, where it is the company’s by construction.

If your personal space has a closing date, you find it written at the top of the list as soon as you enter: from now until that day you can download or move whatever you want to keep.

What about a client’s files?

If your company works by project or by client, those folders live in «Workspaces» — the entry is in the left-hand menu, and you only see it if you are a member of at least one workspace.

I can’t see the personal space

Not a fault: the personal space is an extension the company may not have turned on, and even when it is on it is granted to those who need it. If you need one, ask whoever manages the Files users.
