Searching inside documents, not just names

The normal search looks at names. This one looks at the content: you ask it a question in plain language — “what is the penalty in the Rossi contract?” — and it answers, citing the documents it took the answer from.

To use it:

1. Press the «Smart search» button in the bar above the list, on the right (the brain icon).
2. Type your question in the panel that opens on the right-hand side of the screen and press Enter.

Under every answer there are the sources, with a piece of the text and a link to open the document in its folder. They are the important part: the answer is there to find things fast, the source is there to check. A document that settles something is always worth opening.

First you have to index

It does not work over the whole archive automatically: documents have to be put into the index first. To do it:

1. Right-click on the file or folder.
2. Hover over «AI» — it has an arrow on the right.
3. Choose «Index in RAG». On a folder it covers what is inside too.

This is the step that is missing when “it can’t find a document that is there”: almost always it was never indexed.

What it sees and what it doesn’t

It sees only the documents you have access to. It is not a way round permissions: what you could not open is not even quoted to you.

If it isn’t there

It is an extension the company has to have active, and you need the «Smart search (RAG)» permission on the folder. Without one of the two, the button does not appear.
