Making a document expire
This is for documents with a period of validity: a certificate, a company search, an offer.
To make a single file expire:
- Right-click on the file.
- Hover over «Security and preservation» — it has an arrow on the right.
- Choose «Set an expiry» (or «Edit expiry», if there is one already).
- In the window that opens, choose the date and what should happen when it
arrives:
- stay there but marked as expired in the list;
- go to the bin, automatically;
- stay readable but read-only, so nobody changes it any more.
On a whole folder
If the rule applies to everything inside, you set it on the folder instead of file by file: right-click on the folder → «Security and preservation» → «Enable document expiry» (then «Configure document expiry» to change it). The folder gets a marker as a reminder, and the rule applies to the files that arrive later too.
Finding the ones about to expire
In the left-hand menu, «Collections» → tab «Expiring»: they are all there, without hunting folder by folder.
If it isn’t there
It is an extension the company has to have active, and you need the «Document expiry» permission on the folder. If the entry does not appear, it is one of these two.
