Working in a workspace

A workspace is a working space with rules of its own: a project, a case, a client. Compared with a normal folder the difference is not how it looks, it is the rules.

To get in: «Workspaces» in the left-hand menu, then pick yours. The left-hand menu changes and becomes the workspace’s own, with «Overview», the files, «Latest files», «Activity» and «Members».

In «Overview» you find it all together: who the «Responsible» is, the members, the latest things that happened and, if there is one, the linked client company.

The rules, and why they get in the way

Whoever creates the workspace chooses, in «Security policies», things like:

  • «Download requires approval» — taking a file away needs a yes;
  • the same for deleting and for uploading;
  • «Block external sharing» — no public links go out of here.

⚠️ If it asks you for approval for something you do elsewhere without thinking, it is not a fault: the workspace is made that way. The request goes out by itself and the person who decides is the lead.

Where those requests end up

In the «Control centre» (at the bottom of the left-hand menu) → «Approvals», tab «Workspace requests»: both the ones you are waiting for and the ones you have to decide on.

If you don’t see any

Workspaces are an extension: if your organisation has not turned it on, the entry is not there. And even when it is, you only see the ones you are part of.
