Requesting leave, time off or recording an absence

To request an absence you need to:

  1. In the left-hand menu, «Management»: the first tab that opens is «Absences» — a calendar of the year with days coloured by type, and the list of requests underneath.
  2. The blue «New request» button at the top right.
  3. In the window that opens in the middle: the «Type» (holiday, time off, sick leave, time in lieu), «Start date» and «End date». If it is not a full day, untick «Full days» and enter the times.
  4. Confirm. Klokka tells you straight away how many hours it is worth, and how many you have left.

The request goes to an administrator, who approves or rejects it — with a reason, if rejecting. In the list under the calendar you see the status of the ones you already sent: «Pending», «Approved», «Rejected».

If you are the one approving

On the same page, clicking a pending request opens «Review request»: «Approve» or «Reject», with space for the «Reason (optional)» — write it, if you reject. For you, the button at the top right is called «Add» and opens a small menu: «Add absence» (for a person, already approved) or «Company closure».

You do not need to request company closures

The days the company is closed — holidays, bridge days — are already on the absences calendar, in their own colour: no need to request time off for those, they are there for everyone.

If you cannot see the «Absences» item

Nothing is broken: it is a part that each organisation decides whether to use, and an administrator can also exclude individual people. If you think you should have access, ask whoever manages Klokka.

Seeing colleagues’ absences

It depends on the configuration: some organisations show everyone who is away (handy for organising), others do not. If you cannot see them, that is a choice.
