Tags for finding things again

They serve to pull together things that sit in different folders: all the contracts, everything about one case, everything that is “to be reviewed”.

To put a tag on something:

  1. Right-click on the file or folder.
  2. Hover over «Labels and fields» — it has an arrow on the right.
  3. Choose «Labels»: a panel opens on the right-hand side of the screen.
  4. Look for the tag you need in the box at the top. If it isn’t there, type it: it offers to create it on the spot.

Finding everything with a given tag

In the search bar at the top, the «Advanced search» button (the icon next to the box) opens a window with the tag field: pick the one you want and you get everything that carries it, from whatever folder it comes.

⚠️ Personal or everyone’s: the difference matters

When you create a new one, Files offers to make it personal: that one only you see. It is handy for your own way of working (“to read”, “urgent”), but it is not a way of telling colleagues anything — they don’t see it and will never understand why that file mattered.

If it serves everyone, it has to be created as a tag of the folder or of the product, not as a personal one: ask whoever administers if you don’t have the right to.

If the entry isn’t there

You need the permissions on the folder: «View tags» to see them and «Add/Edit tags» to put them on. To check, click the «Your access» chip in the bar above the list, on the left.
