Users and groups

To manage who uses Files:

  1. Click «Control centre», at the bottom of the left-hand menu.
  2. Choose «User management» in the left-hand column of the window that opens.
  3. From there you have the tabs «Users», «Groups», «User typologies» and «Access levels».

In the «Users» tab you find who uses Files in your organisation, with their user type, their state and the space they take up.

⚠️ Users are not born here

People are created in Kamzan Account, not in Files: the account is one for all the products, and having one per product would be a nuisance. From Files you manage what they do inside Files — the user type, the access to folders — not whether the person exists.

Anyone shown as pending has been invited but has not accepted yet.

Groups: the thing that really pays off

A group brings together people who work on the same things. They are created in the «Groups» tab.

The advantage shows when someone new arrives: you put them in the group and they inherit all the access, with nobody having to remember the twelve folders they had to be added to.

Groups can have a parent group (two levels): whoever is in the child inherits the parent’s access too.

⚠️ Worth making it a rule: grant access to a group, not to one person at a time. The first month it is the same; the sixth month it is the difference between a list that can be maintained and one nobody understands any more.

User types and access levels are not the same thing

  • The «User typologies» tab decides what a person can do in the product: those are their privileges.
  • The «Access levels» tab decides what can be done inside a folder: those are the permissions, and they are granted folder by folder.

Someone can have the privilege to use a feature and not have the permission to use it in that folder: that is on purpose.
