Users, groups and who sees what
To get to the users you need to:
- Click «Control centre», the button at the bottom of the left-hand menu: a window opens with a list of items on the left.
- Choose «User management». At the top are the tabs «Users», «Groups», «User types», «User fields».
The «Users» tab holds whoever uses Klokka, with their own user type and their own privileges. The blue «New user» button at the top right opens the guided procedure; clicking a row opens the same window to edit it — user type, contract (full-time or part-time), hours per day, groups.
⚠️ People are not created here
They are created in Kamzan Account: there is one account for every product. From Klokka you decide what they do inside Klokka — the user type, what they see, what they can edit — not whether the person exists.
Groups
In the «Groups» tab, the «New group» button at the top right: a window opens in two steps, «Group info» (name and description) and «Members».
A group brings together people who work on the same things. It is mostly for visibility: you decide what a group sees instead of repeating it for each person. When someone new arrives, you put them in the group and they inherit everything.
Why a colleague cannot see a project
Nearly always it is visibility, not a fault. In Klokka you can decide which clients, projects and activities each person sees: a short list is easier to use, but it means someone does not see things that exist.
It is fixed from the «Catalog» (left-hand menu): on the client’s or project’s card, at the bottom, the eye icon «Manage visibility» — crossed out when visibility is restricted. A window opens where you search for users or groups and tick them; «Make visible to all» removes every restriction.
Seeing other people’s time
It is a separate right, and it comes in two forms: giving it to all members, or only to chosen people (managers, for instance). The second is nearly always the right one: those who need to check can see, the others work.
It is decided in the Control centre → «Settings» → «General» tab → «Team & visibility»: the «Members can see others’ hours» switch and, underneath, the choice between «All members» and «Specific users only».
