Klokka guide
Looking at the team's hours
Two different tabs, for two different questions. Both sit under «Time entries» in the left-hand menu, among the tabs at the top of the page.
«Everyone’s time» — everyone’s entries, row by row. The filters icon (the three lines, on the right above the list) opens person, client, project, activity, tags; the period’s dates are next to the search box. It is for when you want to see the individual entries: what a person wrote on a given day. From here, on the row, the three dots «More actions» → «Ask for clarification».
«Reports» — the same data but added up. The page is a list of tiles, one per kind of report: «Weekly view for one user», «Monthly view for one user», «Yearly view for one user», the same three for all users, and the «Custom summary» — the table with free filters, by client, project, activity, and the grouping you choose («By project», «By client», «By activity», «By user»). It is for when the question is “how much”, not “what”. In every report, at the top right, «Export CSV», «Export Excel», «Export PDF».
Reports are wide tables: on a phone they do not open, and they tell you so.
Who you see
Not everyone sees everyone. Each organisation decides whether members see their colleagues’ time, and can grant it to only some people. If in these lists you only see yourself — or if the «Everyone’s time» tab is not there at all — it is a configuration choice, not a fault.
If the totals do not add up
Three causes, in order of frequency:
- Entries still to reassign: they enter no report while they stay hanging.
- Hours awaiting approval, where approval is on.
- An archived project: the hours are there, but if you filter by active projects you do not see them.
