Recording a voice note and having it transcribed

In the note’s toolbar, towards the right, there is the microphone icon («Record a voice note»); next to it, «Upload a voice note» if you already have a file. Alternatively, from the little arrow next to «New» at the top right, «New voice note» creates the note and starts recording straight away.

In the note the «New recording» card appears: go, and when you have finished press «Done». You can also «Pause» and then «Resume». There is a length cap: you read «Up to minutes» and, as you get close, « seconds left».

The voice note stays inside the note: «Play» to listen again, «Download the voice note» to take it away. In the left-hand menu, the «Voice notes» item shows only the notes that have one.

Turning it into text

On the voice note, «Transcribe the voice note»: the text appears in the note, and from there it is corrected like anything else written.

If you read «Transcription needs a Gladia key: set it in Kamzan Account, Settings > Artificial Intelligence.», it is not a fault: the configuration is missing, and whoever administers does it.

If the microphone does not start

«I cannot reach the microphone: check your browser permission.» — the block is in the browser and is removed from there.

⚠️ Do not close while recording

If you try to leave, the «Recording in progress» window warns that a recording is in progress and that leaving now loses the voice note: it has to be stopped with «Done». You have «Stay here», «Save and leave» or «Leave without saving».

How long they stay

It depends on how the company is set up: the audio may be kept after transcription or deleted. On the voice note you see «expires on » or «expires today». If the company switches retention off, voice notes already recorded do not disappear at once — there is a notice period, and whoever recorded them is warned.

If you cannot find the button

Recording is a capability of the user typology (it is called Vocali too, in user management), and transcription is another («Trascrivi i vocali (AI)»). If the «Voice notes» item in the menu is missing too, the voice notes extension is not on for your company.
