Inviting people to an event

In the event’s small window (it opens with a click on the grid or on the event) click the «Add guests» row: the «Search contact or type email…» field appears. Type the name and pick from the list, or type the address directly and press Enter. Each person becomes a row under the field.

Everyone receives an invitation by email and can answer from there. At the end, «Create» or «Save» at the bottom right: it is on saving that the invitations go out.

Who said yes

Next to every name there is the status: «Pending», «Accepted», «Declined», «Maybe». At the top of the list the summary (how many confirmed, how many pending).

Required or optional

Hovering over an attendee shows «Mark as optional»: it makes clear who is really needed and who is invited for information; with «Mark as required» you go back. From the dropdown next to the name you can also promote someone to «Co-host»: the person who helps you run the meeting.

What guests can do

It is decided in the big window: «More options» at the bottom of the small window, then under the attendees «Guest permissions», with three switches: «Guests can modify the event», «Guests can invite others», «Guests can see the guest list». Leaving them off shows «Cannot modify, invite, or see the guest list», which is the prudent choice for a meeting with people who do not know each other.

Which language the invitation arrives in

Under the attendees there is a row with a language dropdown and the note «Invitation language. People with a Kamzan account receive theirs in their own.»: it only applies to those without a Kamzan account — those who have one always receive in the language they chose. In the big window the same dropdown is called «Invitation language».

If you cannot invite someone from outside

Above the field appears the notice «You can only invite members of your organization: inviting external participants is not enabled for your profile.». It is not a fault: inviting external people is a capability of the user typology («Inviti partecipanti esterni»). Ask whoever manages Kalendo users in your company.
