Finding a time when everyone is free

To see when colleagues are free you need to:

  1. In the event’s small window, add the attendees.
  2. Click «More options» at the bottom: the big window opens.
  3. Next to the «Attendees» heading, click «Find a time».

The «Find a time» window opens with the day as a strip: for every colleague you see the «Busy» slots and the «Free» ones. Scroll the days with «Next day» and «Previous day», click a slot that works for everyone and press «Apply»: the event’s times update by themselves.

⚠️ You see when they are busy, never with what. Title, location and guests of their appointments stay private.

If you see nobody

  • «No internal attendees to check availability for» means that among the guests there is nobody from your organisation: for those outside we cannot know their appointments.
  • If the button does not appear at all, it is a capability of the user typology («Disponibilita’ colleghi»). Ask whoever manages Kalendo users.

When there are many attendees and nobody answers

If the problem is not the calendar but getting people to agree, do not insist with this strip: use an availability poll, which asks them when they can. There is a dedicated page.
