The company calendar: who is in and who is out

It is a calendar that answers a single question: who is busy and when. Nobody writes in it by hand — it fills up by itself with the approved absences and closures coming from Klokka, the meetings from kMeeting and the Kalendo events for which someone chose to flag themselves. In the «Calendars» panel (top right) you find it among the calendars, and it is switched on and off like the others.

⚠️ Whoever looks sees your name, the time slot and a wording like «Busy». Never the title of your event, nor description, attendees, location or videoconference link.

Showing yourself as busy

In the event’s small window, under the calendar row, there is the switch «Show me as busy on the company calendar». Turn it on and your slot appears on the company calendar — without the title.

Depending on how the company is set up, the switch may come already on: it remains a suggestion, if you do not want to publish that appointment turn it off.

For whoever configures it

Control centre → «Settings»«Company calendar» tab. Until it exists you read «The company calendar has not been created yet. Create it to start collecting busy times.» and the «Create company calendar» button. (Whoever can create it also sees, on opening Kalendo, the notice «You can create the company calendar» with «Create now», «Remind me later», «Don’t show again».)

Once created, in the same tab you decide how the entries appear, under «How entries read»: «Person’s name» (full, abbreviated or initials), «Meeting prefix», «Event wording», with the «Preview» alongside showing the result as you choose. The switch «Suggest publishing, already on» makes events be born with the switch above already on.

Who sees it is decided as for any other calendar: «Calendars» panel → three dots next to the company calendar → «Share». The same people are also the only ones who can flag their own busy time on it.

With the «Company calendar active» switch everything stops without losing anything: the entries already there stay, new ones simply are not added.

If you cannot find it

It is an extension: if in the tab you read «The Company calendar extension is not active for this organization. Contact your administrator to enable it.» the company has not switched it on. When it is on, creating and configuring it remains a capability of the user typology («Calendario aziendale condiviso»), and flagging yourself as busy is another («Segnala occupato sul calendario aziendale»): without it, the switch in the event does not appear.
