Letting people book an appointment with you
A booking page is a link you send to whoever you want: the person sees only your free times and picks one. The appointment lands on your calendar by itself, with no email back and forth.
To create one you need to:
- In the left-hand menu, «Bookings».
- At the top right, the blue «New page» button. The «New booking page» window opens, a six-step path listed at the top of the window; you move on with «Next» at the bottom.
- At the last step, «Create page».
On a phone pages can be viewed but not created: «Create booking pages from desktop.»
The six steps
1. «Details» — the «Title» the guest will read («e.g. 30 min consultation») and the «Slot duration». Here are also the three rules that keep you out of trouble: «Buffer before (min)» and «Buffer after (min)» so as not to glue one appointment to the next, «Bookable in at least» so nobody books you in ten minutes’ time, «Bookable up to» so your diary does not fill up six months ahead. And «Where will the appointment take place?»: with «Online (auto Meeting)» every booking generates the videoconference link by itself; in person you pick a place from your library.
2. «Availability» — the days and time bands in which you accept appointments, with «+ Add time slot» to split the day. «Max bookings» closes the band after a certain number of appointments on that day.
3. «Questions» — what to ask the guest besides name and email: phone, company, subject of the meeting. With «Ready-made fields» you add a ready-made one, or write it yourself with «Add question» and, if it cannot be skipped, tick «Required».
4. «Calendars» — the «Linked calendars» are the ones on which Kalendo checks that you are free: where you have an appointment, the time is not offered. The «Target calendar» is the one bookings will be created in.
5. «Invitations» — the «Standing invitees»: who must be invited to every booking of that page, a colleague who always takes part. Whoever books does not see them; they can still add their own people from the public page.
6. «Appearance» — the «Public page layout» («Weekly calendar» or «Minimal») and the «Invitation appearance»: what the title of the event landing on your calendar is made of.
If the item is not there
«Bookings» in the menu only appears with the capability of the user typology («Pagine di prenotazione»). Ask whoever manages Kalendo users.
